RVE House Rules

1. Bookings and Deposits

A non-refundable deposit of 50% of the agreed shoot fee is required to secure any booking. No date will be considered confirmed until this deposit is received.

Bookings must be made at least seven (7) days in advance of the proposed shoot date. Should a booking be made with fewer than seven days’ notice, the same deposit terms apply, and a minimum of 24 hours’ notice is required for any cancellation or rescheduling.

2. Cancellations and Rescheduling

Cancellations made with fewer than seven (7) days’ notice will result in the deposit being retained. If the booking was made less than seven days prior to the shoot, at least 24 hours’ notice is required to qualify for a refund or transfer of deposit.

Requests to reschedule will be considered on a case-by-case basis. RVE will always aim to accommodate a new date that suits the client. If no suitable alternative can be arranged, a full refund of the deposit will be issued.

In the unlikely event that RVE must cancel a session, clients will be offered either a rescheduled date or a full refund.

3. Payment Terms

The remaining balance of the shoot fee is payable no later than the end of the shoot day. Failure to complete full payment by this time may result in a delay in the delivery of final images.

Accepted payment methods are bank transfer or PayPal. Payment details will be provided at the time of booking.

4. Image Delivery and Editing

Images will be delivered via Google Drive within 7 to 14 days of the shoot, starting from the day following the session. For bespoke or international projects, delivery may take up to 45 days.

Editing will include standard colour grading and agreed levels of minor retouching. Prior to the shoot, clients may request a specific level of editing, and examples can be provided. In line with RVE’s creative ethos, excessive or unnatural alterations will not be undertaken.

5. Usage and Intellectual Property

All images remain the copyright of Roman Valor Editions. Clients and models are granted a personal licence to use the images for non-commercial purposes, including sharing on social media.

Any commercial use of images, including licensing, advertising, or resale, requires written permission from RVE. Permission will not be unreasonably withheld unless it poses a conflict of interest or undermines existing or prior collaborations. This includes situations where an image may be resold or used by a third party that RVE has previously worked with.

All usage agreements, including cross-promotion and privacy preferences (e.g., tagging, aliases), will be discussed prior to the shoot.

6. Styling and Preparation

RVE encourages clients to arrive as their authentic selves. Styling guidance may be provided prior to the shoot, including suggestions on wardrobe and items to avoid or bring. RVE does not offer makeup services and recommends minimal or no makeup where possible, unless preferred by the client.

Any expected expenses due to be incurred as part of your booking will be outlined in detail beforehand.

8. Conduct and Professionalism

All shoots will be carried out in a respectful, inclusive, and professional environment. Nothing will proceed without the full understanding and consent of the client or model. RVE is committed to safeguarding the comfort, dignity, and personal boundaries of all individuals involved.

9. Late Arrivals

Clients are expected to arrive on time. In the event of a late arrival exceeding 20 minutes, RVE reserves the right to reduce shoot time accordingly or apply a rescheduling charge if required. Extended sessions may not always be possible due to other bookings.

10. Model Release and Agreements

A model release agreement will be presented prior to the commencement of any shoot. Clients and models are encouraged to read the agreement carefully and ask any questions. Modifications or clarifications will be considered to ensure mutual understanding.
